Job Description

Key Purpose of the job:

1. To work alongside the Starlight Office Management Team and under the management of the Starlight Board of Trustees.

2. Primary duties will be to provide support to the Starlight Office Finance and Fund Raising Officer, the Support Officer, Youth Outreach Worker and Youth Leadership Project Worker and provide them with office back up support and skills to help ensure their tasks are delivered effectively.

3. To develop and maintain databases, administrative systems, forms and records to help ensure that the Starlight office runs effectively and smoothly.

4. To help organise meetings, office away-days, youth forum meetings and events as directed by the appropriately nominated Starlight representative.

Main duties and responsibilities

Working to an already established office team and Trustee Board, s/he will be responsible for implementing and delivering the following assignments:

1. The maintenance of office administrative systems and development of policies.

2. Design and implementation of robust procedures and office practices, in liaison with the assigned management committee member(s) and SMA personnel.

3. Organisation of Trustee Board meetings, taking minutes at meetings and organisation of mail outs and draft reports.

4. Promotion of SMA activities through various publicity mediums.

5. Opening and closing the Starlight office.

6. Provision of direct support, information, communication and feedback to management committee members and clients.

7. Development of administrative systems, forms, monitoring and evaluation procedures to ensure compliance and effective reporting of projects.

8. To deal with queries, day-to-day running of the office and presentation of SMA to external agencies and clients in a formal manner.

Knowledge

The position of voluntary Office Administrator will require the volunteer worker to possess / acquire an understanding of office systems, record keeping, monitoring, evaluation, organising meetings, publicity, partnerships and business planning.

Tasks will be carried out in liaison with the assigned trustee member and other SMA personnel. Notes:

Relevant free training provided for voluntary sector volunteer workers should be regularly identified and attended to help build skills and sector knowledge.

Criminal Convictions Checking Procedure Please note that this position gives the post holder access to children and / or young people and will therefore be required to disclose details of any criminal convictions, including spent, bind-over orders and cautions. In accordance with the SMA Children’s policy and procedure a police check will be carried out and in taking up this volunteer position you are in agreement for the organisation to carry out this necessary check.
